First impressions can mean everything to prospective tenants. When they arrive on-site for their first tour, it’s important to make sure that you are more than prepared.

Tips for Making a Lasting Impression

  • Meet your prospects at the door. Don’t wait for them to peek into your office while you’re finishing last-minute e-mails. Your anticipation will show them they are well worth your time.
  • Be sure to thank your prospects for coming out to visit. Let them know you understand you’re taking time out of their day.
  • Tell them a little bit about yourself. Prospective renters will hear a lot about the property on their first visit, but what about you? Make things personal by opening up a little.
  • After they’ve toured the facilities, do a quick recap back at the leasing office. This will help you avoid awkward goodbyes in the parking lot, and it gives them an opportunity to sign any paperwork if they wish to.
  • Leave your prospects with a gift. Offer a coupon to a local restaurant or discounted movie tickets with your personal business card. Having your contact information accessible will encourage a call-back and the gift is sure to be remembered.

You know better than anyone that the work doesn’t stop once the lease is signed. Getting tenants in the door is arguably one of the biggest challenges of managing a property, but keeping tenants can prove to be just as challenging. Make sure you continue to impress your tenants after they’ve signed on the dotted line.

Tips for Making Your Current Tenants Happy

  • Be responsive and timely. Respond to maintenance calls quickly and always be upfront about the time line. If a tenant needs a new dishwasher, be sure you deliver the replacement as soon as possible, and let them know ahead of time if there will be any delays.
  • Host holiday events’ Memorial Day, Fourth of July and Thanksgiving are all good excuses for some community building. Host a block party, have a cookout by the pool, or set out a donation tree around Christmas time. Your engagement with your tenants will show you appreciate their business and want to make your community feel like home.
  • fresh flowersSend birthday cards. Using Rent Manager’s User Defined Fields, you can keep track of tenant birthdays and add some extra cheer to their big day. A card or note is a simple, but meaningful way to make your tenants feel at home.
  • Keep your grounds in order. Nothing delights tenants more than coming home to fresh flowers in the spring. You’ll be surprised by how much your tenants will appreciate the upkeep of your community landscape.

As a property manager, it’s important to establish and maintain a positive relationship with your prospects and tenants. After all, their business is your livelihood.
